The Great Wall of Paperwork: How Lengthy Referrals May Be Slowing Things Down

A common theme that emerges from conversations with NDIS participants, families and support coordinators include: frustration. The excitement of having an NDIS plan approved is too often quickly dampened by the next hurdle—actually accessing the services it funds.

The culprit? Often, it’s the very first step: lengthy referral forms!

While designed with good intentions to gather information, these multi-page, deeply personal documents can act as a significant barrier rather than an enabler. They create what we call "The Intake Bottleneck," delaying critical support and adding unnecessary stress to the lives of people who are already navigating complex challenges.

At CoCapacity, we have put careful thought about how our first point of contact with a client can embody our values. We looked at mainstream providers and decided to fundamentally reimagine the process.

Instead of a lengthy referral form we are doing a simple, respectful Expression of Interest (EOI) that is totally online across all devices.

So, mobile phones: yes 📱, iPad or tablet: yes, laptops or computers: of course! 💻

1. You Spend Few Minutes, Not Hours: Our EOI form captures only the absolute essentials we need to know if we can help: Who you are, What you need, and How it’s funded.

2. We Do the Heavy Lifting: Once you submit the EOI, our team gets to work. We review your needs against our capacity and expertise.

3. A Human Conversation: Within 2 business days, one of our friendly staff members will call or email you. This conversation is where we gather the nuanced details, answer your questions, and guide you personally through the next steps. We complete the full intake with you, not for you.
